Terms & Conditions

These Terms apply to all enquiries and bookings made with Vanir Training ("we", "us"). By placing a booking, you agree to these Terms.

1. Definitions

  • Course: any training course, programme or assessment we arrange or deliver.
  • Delegate: the individual attending a Course.
  • Client/you: the person or organisation ordering the Course.
  • On‑site: Courses delivered at your premises or site.

2. Quotations & pricing

Written quotations are valid for 14 days unless stated otherwise. Prices are shown exclusive of VAT. Additional fees may apply for materials, exam/certification charges, travel or venue hire; these will be confirmed on your quotation.

3. Booking & confirmation

A booking is formed when we issue written confirmation (email) following your acceptance of our quotation or online checkout. We may require prerequisite evidence (e.g. ID, prior certificates) before confirming attendance.

4. Payment terms

  • Card: payable at checkout using our secure provider.
  • Invoice: subject to approval. Payment due within 14 days of invoice date or at least 5 working days before the Course, whichever is sooner.
  • We may suspend delivery or refuse attendance if sums are overdue.

5. Cancellations, transfers & substitutions

  • Client cancellation:
    • More than 10 working days before the start date: refund less any unrecoverable third‑party costs.
    • 5–10 working days: 50% of Course fee payable.
    • Fewer than 5 working days or no‑show: 100% payable.
  • Transfers: moving to a new date may incur an admin or supplier fee. We’ll advise options on request.
  • Substitutions: delegate substitutions are free up to 2 working days prior, subject to prerequisites being met.
  • Our changes: in rare cases we may change venue/date or trainer. If we cancel, you may choose a new date or a refund of fees paid for the affected Course.

Statutory rights are not affected.

6. On‑site delivery requirements

  • You must provide a safe environment, suitable room/space, welfare facilities and any required equipment.
  • Where practical assessments are involved, you must ensure equipment/plant is compliant and insured.
  • We may refuse or stop delivery if safety standards are not met; fees remain payable.

7. Attendance, assessment & certificates

  • Delegates must attend all required hours and provide valid ID where requested.
  • Assessment outcomes are determined by the accrediting body or trainer against set criteria.
  • Certificates are issued upon successful completion and settlement of fees.
  • Replacement certificates or name changes may incur an admin/body fee.

8. Client responsibilities

  • Provide accurate information and notify us promptly of any changes.
  • Obtain internal approvals or purchase orders where required.
  • Ensure delegates are medically fit and meet prerequisites for practical elements.

9. Data protection

We process personal data as described in our Privacy Policy, including sharing limited information with accrediting bodies and providers to arrange your Course.

10. Intellectual property

Course materials and website content are protected by intellectual property rights. You may not copy, reproduce or distribute materials without prior written permission or as permitted by law.

11. Liability

Nothing in these Terms limits liability for death or personal injury caused by negligence, fraud, or other liability that cannot be excluded by law. Subject to the foregoing, we are not liable for: (a) indirect or consequential loss; (b) loss of profit, revenue, or business; and our total liability arising from a Course is limited to the fees paid for that Course.

12. Force majeure

Neither party is liable for delays or failure caused by events beyond reasonable control (including extreme weather, strikes, epidemics, venue closure or transport disruption). We will re‑schedule where possible.

13. Website use

Your use of this site is subject to fair use and acceptable conduct. We may update content, pricing and availability without notice. See also our Cookies and Privacy pages.

14. Complaints

We aim to resolve issues quickly. Please email hello@vanirtraining.co.uk with details and any evidence. We’ll acknowledge within 2 working days and aim to respond within 10 working days.

15. Governing law

These Terms are governed by the laws of England and Wales and the courts of England and Wales have exclusive jurisdiction.
